2018 Employee Benefits Information

2018 Employee Benefits Open Enrollment
October 10 -31, 2017


  • Reconfirm current elections (even if you only elect the board sponsored life insurance/dental/vision)

  • Elect benefits or Make changes (add or delete dependents, update beneficiary information, etc.)

  • Waive Coverage

Employee Self Service (ESS) will be used for the 2018 enrollment process. Benefit choices made during Open Enrollment are effective January 1, 2018. Please make sure that you are able to log on to ESS PRIOR to the start of Open Enrollment.

Resources to Assist with Enrollment

1. Speak with a Benefits Specialist via the Enrollment Call Center.

· Visit https://bentecworkplace.com/columbus

· Click on the Call Center option.

· Follow the prompts to select your appointment date/time between the 

            hours of 10am to 6:30pm ET.

· You will receive a confirmation email with a phone number to the Call


· The sessions are conducted over the phone. The employee must be

            able to access ESS on a computer at the time of the appointment 
            and be able to print a copy of their ESS confirmation statement for  
            their records. During the co-browsing sessions, both employee and the
            Benefit Specialist are able to see the same screen at the same time. The
            employee is responsible for entering his/her information into ESS
            with the assistance of the Benefits Specialist.

2. New Scheduling Process This Year Schedule a Time to Speak with a Benefits Specialist in a person at your location.

(Limited Availability) The Benefits Specialist Location Schedule is available below under the Additional Information Heading.

3. Employees adding dependents to their plans for 2018 or who would like another alternative to enroll with a Benefits Specialist, can set up an appointment at the Central Enrollment Center or Kingswood Data Center during the available times listed below.

         Registration for a Lab Time is Required.

4. Complete your own enrollment using Employee Self-Service on any internet capable computer.

(Voluntary Benefits enrollments/changes/terminations are not available via Self-Service)


PLEASE REMEMBER - Regardless of the method chosen to enroll, the employee is ultimately responsible for ensuring that the enrollment is correct and submitted by October 31, 2017.



Voluntary Benefits

You will need to meet with a Benefits Specialist to make or change elections for your Voluntary Benefits during Open Enrollment. You cannot terminate your Voluntary Benefits by meeting with a Benefits Specialist. A Supplemental Insurance Termination form is available on this webpage under the heading "Additional Information." Please complete this form, submit it to the Benefits department and contact your Voluntary Benefit insurance provider to notify them that you are cancelling as well. Several Voluntary Benefits will continue to be available. These include:

    • Optional Life Insurance with Long Term Care Benefits

    • Short Term Disability

    • Critical Illness Insurance - Being offered by Voya for 2018

    • Accident Insurance - Being offered by Voya for 2018

    • Legal Insurance (non-CEA members only)

    • Pet Insurance

    • Term Life Insurance – Being offered by All State for 2018

Trustmark Critical Illness and Accident Insurance - Please be advised if you are currently enrolled on Trustmark Critical Illness or Accident Insurance, these plans will terminate effective 12/31/2017. You will automatically be migrated to the new Voya plans for 2018. If you wish to continue with your Trustmark plans, you can do so on a self-pay basis. All employees currently enrolled on these plans have received a mailing regarding their options.


AIG Term Life Insurance – Please be advised that effective 12/31/2017, AIG will no longer be offering their term life insurance product and all CCS employees’ policies will end at that time. If you wish to enroll for term life insurance, meet with a Benefits Specialist during Open Enrollment to discuss the new term life options that will be offered by All State. All employees currently enrolled on this plan have received a mailing regarding the termination of the plan.



Information Sessions

During Open Enrollment, you may attend an Information Session with representatives from our current insurance carriers held at several locations. These sessions will be held in break rooms and provide an opportunity for staff members to “drop in” and pick up information and get their questions answered regarding benefits. This is not to be confused with the one-on-one meeting opportunities with a Benefits Specialist to complete your enrollment.

Dependent Eligibility Verification

Employees who add dependents durinhg Open Enrollment and do not provide documentation verifying dependent eligibility can expect to have these dependents removed from medical, dental or vision coverage.

As a requiement of the Affordable Care Act, we will need to report health care coverage for you as well as your dependents.  To report this information to the federal government, will need to have correct Social Security numbers for you and your dependents entered into ESS.  Please verify this information when completing our enrollment this year.
CCS E-Mail - Make Sure You Can Access it and Check it Regularly! 
Your CCS e-mail will be the primary source for the Benefits Team to communicate with you during Open Enrollment.  Benefits enrollment status updates, problems with or corrections to your enrollment will be sent to you via your CCS e-mail.
